Job Type: Full Time, Permanent

Hours: 8.30am to 4.30pm, Monday to Friday (plus additional hours as and when required to attend networking and events)

Role: The Chamber’s mission is to drive growth among businesses of all sizes and sectors across the Halifax, Huddersfield and Wakefield districts by providing relevant and valuable support and benefits to members. The Events Assistant will be responsible for helping to plan, organise, promote and deliver events for existing and potential members, including support with the MY Business Conference and MY Annual Dinner.

Duties & Responsibilities:

  • Create and maintain a file of venue information, including: contact information, location, capacity information, catering options and costs;
  • Support the Head of Commercial Services and Membership in identifying and booking appropriate venues and speakers for events;
  • Carry out planning and administrative tasks in relation to events, including:
    • adding events to Eventbrite and other suitable platforms,
    • organising event bookings and compiling databases of likely interest,
    • sending out tickets and event joining information emails,
    • preparing delegate lists and registers,
    • preparing name badges and seating plans where appropriate,
    • booking catering,
    • coordinating reasonable adjustments for disabled guests where appropriate;
  • Support the Head of Commercial Services and Membership in promoting events;
  • Take a key role in on the day delivery of events, including attending events to greet and register attendees, assist speakers, liaise with venue and other activity necessary to ensure successful delivery;
  • Support the Head of Commercial Services and Membership in planning, organising, promoting and delivering the MY Business Conference event and MY Annual Dinner event;
  • Prepare and send out invoices for events and chase outstanding payments, refer debtors to Finance Team;
  • Conduct post event evaluation and follow up with attendees.
  • Liaise with Finance team.

Person Specification:


  • Experience in administrative role;
  • Excellent knowledge of Microsoft Office and audio-visual systems;
  • Excellent organisational and problem-solving skills;
  • Ability to work on multiple projects and work to deadlines and in a pressured environment;
  • Ability to work with minimal supervision;
  • Excellent communication skills, including telephone skills, verbal and written presentation;
  • Ability to establish and maintain strong working relationships with others;
  • A friendly and helpful approach when dealing with potential and existing members, speakers and other attendees at events;
  • Strong attention to detail;
  • Flexible and willing to take on additional roles and responsibilities and to support the wider team as and when required.


  • Experience in events planning or events support role;
  • Experience in marketing, including use of direct marketing and social media marketing to promote events;
  • Driving licence and access to own car for business use;
  • Knowledge of chamber ethos or membership based organisations
