Events & Sponsorship Coordinator

Salary: Up to £22,000 depending on experience
Location: Huddersfield
Full-time: 35 hours

We have an immediate requirement for an Events & Sponsorship Co-ordinatorto develop, co-ordinate and deliver a 12 month events calendar within Calderdale, Kirklees and Wakefield, which includes a range of events such as; networking events, training/information seminars, business forums, conferences, dinners and luncheons, whilst seeking and driving opportunities to generate income through sponsorship, attendance, and commercial activities.

Main Duties and Responsibilities

  • Develop, co-ordinate and deliver a 12 month events programme which includes monthly networking events (Connections Count), training events (60 Useful Minutes), Local Business Forums, annual social events and 2 conferences; Kirklees Business Conference and Wakefield Business Conference.
  • Maximise income through sponsorship opportunities, attendance, and commercial activities.
  • Produce event budgets and monitor costs.
  • Identify and book locations for the events, liaise with location management, catering and other arrangements negotiating best rates at all times.
  • Identifying, sourcing and liaising with suppliers, speakers, delegates and exhibitors.
  • Work closely with the Membership team and Marketing Manager and contribute actively to decisions on marketing events.
  • Compiling databases of likely interest, drafting and circulating emails, updating social media and telephoning individuals.
  • Ensure website and Eventbrite booking system are up to date with event details.
  • Set up and manage the delegate booking arrangements as appropriate for each event, up to and including sending out invoices.
  • Compile and send out speaker and delegate information.
  • Manage the event on the day, including setting up, instructing external contractors and internal staff.
  • Event follow up, updating CRM and sending out post event evaluation.

Personal Profile

  • Demonstrable previous experience in event management and sales (2 years)
  • Commercially minded to generate sponsorship.
  • Self-starter, working with minimal supervision.
  • Excellent written English and oral communication skills for drafting and proof reading materials coupled with the ability to influence others in a positive manner.
  • Excellent organisational skills, particularly in managing time and tasks.
  • Ability to manage multiple projects, meeting all deadlines as well as exceptional attention to detail.
  • Computer literate with experience of using Microsoft programmes, particularly MS Word, Excel and PowerPoint.
  • Technical awareness to set up PowerPoint and other simple AV systems.
  • The confidence to liaise with speakers, the media and a diverse range of external contacts.
  • A welcoming and helpful approach when dealing with members in person at events and over the telephone.
  • Self-reliance, common sense, trust, integrity, and humour.
  • Marketing experience and an understanding of the value of direct marketing in promoting events to members.
  • Local business knowledge and network and be able to identify business opportunities.
  • Full clean UK driving licence and own vehicle.

Membership Administrator

Salary: Up to £16,000 depending on experience
Location: Wakefield
Full-time: 35 hours

We have an immediate requirement for a Membership Administrator to join the team to support the Membership, Events and Marketing strategy within Calderdale, Kirklees and Wakefield. Candidates must have a minimum of two years business administration experience, a full UK driving license and access to a vehicle.

Main Duties and Responsibilities

  • To promote Mid Yorkshire Chamber of Commerce services and benefits in a positive and enthusiastic manner.
  • To work as part of the team and work closely with the Membership Executive, Events & Sponsorship Executive and Marketing Manager to generate opportunities for new membership revenue and contribute to the achievement of its overall objectives.
  • To respond promptly to inquiries from prospective members, members, executive officers, the general public and other industry bodies by phone, email or in writing supporting the Business Development [Manager] in scheduling appointments/telephone calls with leads
  • To support Chamber member market research in areas such as member benefit analysis, member satisfaction surveys, member needs assessment and competition analysis
  • To action the Recruitment and Retention plan
  • Collate and send out new member welcomes/packs; enter new members on to relevant systems and ensuring payments are processed
  • To assist in the member renewals process including responsibility for membership invoicing (generation of invoices and correspondence and mailing) and following up outstanding accounts alongside the finance team.
  • To follow-up member resignations and produce reports on why members lapse * To maintain and update membership records and marketing databases supporting lead generation.
  • To work with relevant departments to keep records and produce reports showing the results of recruitment and retention activity, marketing campaigns, member involvement and non-renewals
  • To participate in regular departmental progress meetings
  • To maintain a calendar of recruitment and retention activities, key events and meetings
  • To plan work efficiently to meet the departmental goals and objectives and ensure KPI’s are achieved as outlined within Business Growth Plan
  • To contribute to departmental activity as appropriate
  • Member recruitment and retention campaigns; including assisting in the creation /update of membership and marketing
  • To interpret membership recruitment and retention statistics and review member research and make recommendations
  • General marketing activity
  • To draft non-standard responses for approval by the Marketing Manager
  • To assist in the production of appropriate mailings (merging, printing and fulfilment) and to ensure they are sent out in a timely manner
  • Assist Events and Sponsorship Coordinator with the planning and execution of events; producing delegate lists/registers, name badges and post event contact with attendees/reports
  • Assist with management of the Chamber social media platforms
  • To remain current with Chamber policies and procedures and membership offering
  • To perform other related, ad-hoc duties as required

Personal Profile

  • A good knowledge of marketing, management, administration, planning, market research and member relationship management skills and techniques
  • Able to establish and maintain effective working relationships with other departments, members and suppliers
  • Strong project management and organisational skills
  • Good written and oral communication skills
  • IT literate: Familiar with using word processing, databases, spreadsheets, project management software and web applications including email, e-marketing, s-surveys, e-discussion groups, etc
  • A professional manner and attitude
  • Proactive not reactive
  • Self-starter working with minimal supervision.
  • Good educational background with at least Maths and English GSCE.
  • Knowledge of Chamber ethos or membership based organisations would be advantageous.
